Craft an onboarding communication plan
Goal. Use ChatGPT (or a comparable assistant) to produce an onboarding communication plan with three components: a welcome packet, an FAQ, and talking points for hiring managers.
Scenario. Use your own organisation, or Brightwater hiring a Customer Support Specialist who starts on Monday 9 November 2026. Use the source facts from Exercise 2.3 and the PTO excerpt from Exercise 2.2. Mark anything else you need as [CONFIRM].
Steps.
- Plan the timeline. Ask the assistant to propose a communication schedule from offer acceptance to day 90: what is sent, when, by whom, through which channel. Edit it into a table.
- Welcome packet. Produce a welcome letter (under 250 words), a first-day and first-week schedule, a “what to bring and what to expect” list, and a one-page 30-60-90 day outline. Use your voice card.
- FAQ. Generate the 12 to 15 questions a new hire is most likely to ask. Answer only those your sources support; mark the rest [CONFIRM] with the name of the person who would know. Do not let the model answer from general knowledge.
- Hiring manager talking points. One page: what to say and do before day one, on day one, and at the end of week one, plus three things to avoid (for example, making promises about promotion).
- Evaluate. Run every component through the rubric in Lesson 2.4 and record what you changed.
- Document the process. Save your prompts as templates and note what you would do differently.
Deliverables. The timeline table; the three components; your completed rubric; your saved prompt templates.
Check your work. Is every fact traceable to a source? Is every unknown marked rather than guessed? Would a manager with five minutes to prepare find the talking points usable?
Draft your answer here. It saves automatically and appears in My playbook.
