Module 3 · Playbook

Build and document an HR assistant

Goal. Build a working prototype of an HR assistant that improves employees’ access to information and reduces HR workload, and document it well enough that someone else could maintain it.

Platform. Use any option from Lesson 3.3. A ChatGPT Project or a Claude Project is the quickest. Do not start a new custom GPT, for the reasons given above.

Steps.

  1. Write the scope card.
  2. Prepare a small knowledge base: the PTO excerpt, the onboarding materials you wrote in Module 2, and an FAQ file. Use fictional or approved, non-personal content only.
  3. Write the instructions using the structure in Lesson 3.4.
  4. Build it and add an opening message.
  5. Write a test set of at least 20 questions with expected behaviour.
  6. Run the test set, diagnose failures, refine, and re-run. Complete at least two rounds.
  7. Write a one-page launch and maintenance plan.

Deliverables (your documentation pack). Scope card; instructions; knowledge inventory with owners and review dates; test log showing each round’s results; change log; launch and maintenance plan with the metrics you would track. Templates are in Appendix D.

Check your work. Zero failures on sensitive and out-of-scope questions? Does every in-scope answer cite its source? Could a colleague take over from your documentation alone?

Draft your answer here. It saves automatically and appears in My playbook.
